Administrative Support Specialist
The Role:
Our client, a small interior design studio with a focus on high-end residential projects, is seeking an Administrative Support Specialist to provide clerical support for their busy team. This opportunity would be a great fit for a positive, adaptable, and organized candidate who’d be looking to step into an integral role within a creative environment.
The position would involve answering phones and greeting visitors, scheduling meetings and travel for the studio partners, assisting with social media marketing tasks, and coordinating with various external parties including clients and vendors. The role would also require occasional travel to support the studio partners on-site at various projects, as well as help coordinating fun and engaging events within the office. The right candidate for this position would be highly communicative and professional, with a warm and welcoming attitude and an open mind. This is a particularly great fit for someone with prior admin experience within an architecture or design company.

Key Responsibilities:
- Screen incoming communication
- Maintain office supplies / space, and liaise with external vendors and visitors when necessary
- Oversee schedule and travel bookings for the Studio Partners
- Help organize fun and engaging office events for the team
- Assist with photo shoots and provide support to social media marketing efforts
- Take notes during meetings and help track project agendas, as well as send reminders when necessary
- Act as a point of contact and a friendly resource for all team members within the office
Key Skills:
- Previous experience in an administrative role
- Excellent verbal and written communication skills
- Ability to manage workload and schedules, with a keen eye for detail
- Ability to approach daily communication with the utmost professionalism and discretion
- Someone with a positive attitude and an adaptable approach, who is comfortable in a people-facing role
- Must have valid US driver’s license and be willing to travel as needed within NY area
- Proficiency in G-Suite and Microsoft Excel
- Prior experience within architecture/design is highly beneficial, but not required
