Bid Coordinator (Part-Time)

About The Role:

We are working with a mid-sized, international architecture studio who boast an impressive portfolio of projects across various sectors. They are seeking an experienced BID Coordinator to join them on a part-time, permanent basis (3 days per week) in London.

With a strong pipeline of projects ahead, you will collaborate closely with another part-time Bid Coordinator in a job-share capacity. Working alongside the marketing team and external consultants, you will attend bi-weekly meetings to review new and ongoing bids and tenders within the studio, ensuring seamless communication throughout the entire bid process. Our client is looking for someone highly detail-oriented, deadline-driven, and equipped with excellent administrative skills.

This role requires just one day in the office per week, with the flexibility to work from home for the remaining two days. Key Responsibilities:

  • Manage bid coordination, including research, writing, and InDesign
  • Collaborate with directors on new business analysis and reporting and present the findings to the board
  • Develop tender storyboards (PQQ, EOI & ITT)
  • Coordinate input from architectural teams, maintaining communication with procuring bodies
  • Contribute to new business strategies and participate in planning meetings
  • Select and organise images for bids, maintaining image references
  • Create marketing collateral and presentations for pitches, interviews, and new business
  • Collaborate with the Director of Marketing to update and maintain the awards schedule and oversee submissions and documentation

Key Skills/Requirements:

  • Confident working with Adobe and Microsoft suites
  • Understanding of the bid process within architecture industry
  • Strong graphic design skills with meticulous attention to detail
  • Effective written and verbal communication
  • Collaborative team player with a flexible approach
  • Proactive with the ability to work independently
  • Strong organisational skills and prioritisation ability
