Document Controller / Project Coordinator

The Role:

We are working exclusively with a highly desirable, mid-sized architecture studio in East London who are looking for an efficient Document Controller/Project Coordinator to join their team.

The purpose of the role is to support the project teams by processing incoming/outgoing documents, ensuring drawings and design documents are efficiently submitted and assisting the team with project workflow. The ideal candidate will have previous experience in a similar role and have knowledge of RIBA work stages.

Key Responsibilities:

  • Responsible for ensuring efficiency across the internal document management system, ensuring documents are filed, stamped and maintained to a high standard
  • Support the Project Team to ensure the correct issue of technical drawings, incoming/outgoing documents, preparing uploads and managing all technical documents for the design team
  • Assist the Project Team with monitoring and managing project workflow, handling all technical drawings and documents
  • Attend internal project meetings, writing minutes and ensuring all actions are distributed and implemented
  • Booking internal and external meetings for the Project Team, ensuring that all technical drawings, presentations and relevant documents are ready for the meetings
  • Assist with maintaining the sample library
  • Assist with documentation audits and implementing improvements to processes, procedures and written guidelines
  • Help the studio management team with general studio responsibilities as and when required
  • Ensure quality and standards are upheld in general across the studios document control processes

Key Skills:

  • Over 1 year of experience in a similar role
  • MS Office proficiency
  • Document control system proficiency, especially Aconex, Asite, 4P or similar
  • Strong interpersonal and communications skills
  • Meticulous and thorough in your approach
