Executive Assistant
The Role:
Our client, a midsize design firm specializing in impressive civic projects are currently in search of a dedicated Executive Assistant who will assume the vital responsibility of providing comprehensive administrative support to a senior leader within a demanding environment.
The ideal candidate should possess the initiative to independently tackle tasks with minimal supervision, demonstrating a self-motivated and proactive approach. Upholding an unwavering image of professionalism, discretion, and unwavering integrity is paramount for this role.

Key Responsibilities:
- Deliver comprehensive administrative assistance to senior management and studio personnel
- Streamline and organise the CEO’s schedule by arranging meetings, conferences, and teleconferences while prioritising high-priority matters
- Arrange all travel logistics including flights and accommodations
- Assist in the preparation of crucial documents such as contracts, reports, studies, and agreements
- Provide support in meeting preparation and record meeting minutes
- Offer a professional and courteous welcome to guests and clients, both in-person and over the phone
- Coordinate catering for events and provide support during company functions
- Ensure confidentiality when handling sensitive information
Key Skills:
- Extensive previous experience working within a similar role
- Strong communicator, written and verbal
- Excellent editor and proof reader
- Efficient at multitasking with acute attention to detail
- Preferably experienced in the built environment sector
- Proficient in MS Office Suite and Adobe Acrobat
- Positive approach and adeptness in collaborative teamwork
