French Speaking Project Administrator

The Role:

A prestigious architecture and design studio who cover a large scope of work including their highly acclaimed art and cultural projects are looking for a French speaking Project Administrator to join their collaborative team.

The focus of the role is to deliver high level project administration duties and ensure the smooth running of the project team. The successful person will be fluent in French and English including the ability to translate between the two. They will have experience working in a similar role ideally within the built environment.

Key Responsibilities:

  • Attend weekly admin meetings, and weekly project meetings
  • Act as PA to assigned Associates ensuring that their projects are administered in accordance with the studio’s protocols
  • Arrange complex travel arrangements for project teams
  • Collate and collect project expenses and manage timesheets
  • Liaise with the finance team on job costing and resourcing matters
  • Provide administrative support to coordinate contractual and legal obligations on projects
  • Arrange project meetings, liaising and coordinating inhouse with clients and external stakeholders
  • Update meeting schedules
  • Manage project archiving
  • Assist in issuing information, both formal and informal using both internal and external document control platforms
  • Upload and download drawings onto the studios electronic document management software
  • Produce accurate agenda, minutes and reports as required
  • Proof reading, formatting, and setting up documents as requested.
  • Ensuring information from consultants is tracked and chase where needed
  • Help compile and produce project documents, reports, and presentations
  • Providing backup for admin and reception team if required

Key Skills:

  • Fluency in English and French including the ability to translate the two languages
  • Microsoft Word and Excel
  • InDesign and Photoshop
  • Good working knowledge of document management systems
  • The ability to communicate the ethos and integrity of the studio to others, inhouse and externally
  • An interest in architecture, design, the arts
