Project Administrator

The Role:

An internationally recognised and highly celebrated architecture practice is looking for a communicative Project Administrator to join their London studio.

Within this role, you’ll provide administrative services and support to the design team, project directors and associate directors on specific teams. The role includes diary management, travel coordination, project submission assistance, and liaising with a variety of departments.

Key Responsibilities:

  • Diary management, organising meetings and site visits, and preparing team agendas and documents.
  • Manage incoming queries and respond accordingly or pass the information along to relevant parties, corresponding with clients and consultants
  • Organise travel bookings and necessary travel documentation for directors and team members
  • Liaise with the accounting department for relevant financial documents such as invoices, director expenses, contracts, fee proposals, etc.
  • Quality checks timesheets and assists with project resourcing allocation when needed.
  • Assist with project submissions when required
  • Regularly record project-related updates on the internal tracking system.
  • Liaise with new business team on new project proposals
  • Assist with project presentation creation if needed
  • Assist general admin staff with cover when needed and regularly liaise across needs for the project team such as stationery orders, courier booking, etc
  • Liaise with IT team for project team member issues/queries/updates
  • Liaise with the HR team for new team members’ onboarding, interviews, appraisals, etc.

Key Skills:

  • Previous admin experience within a creative environment or supporting creatives
  • Excellent communication skills, both written and verbal
  • Excellent people skills with the ability to liaise with different personalities
  • Good IT skills, including Excel and Outlook
  • Highly organised with the ability to multitask and take on updates and changes to ongoing projects
  • A friendly, professional, and calm approach to work
  • Team player with the ability to work autonomously
