Project Coordinator

The Role:

We have partnered with an international creative studio who are currently in search of an experienced Project Coordinator to join their dynamic team. The studio specialises in groundbreaking design projects worldwide.

The ideal candidate will be an enthusiastic, highly motivated, and seasoned professional who can deliver effective and efficient administrative support to the project teams. This role will involve close collaboration with the Project Managers, design teams, and various other domains within the studio.

This opportunity is perfect for an individual with prior experience in a diverse administrative capacity, with an understanding of architectural stages; someone who also has a natural aptitude for problem-solving, influencing, and task completion. Key Responsibilities:

  • Schedule and coordinate internal and external meetings and manage complex calendars
  • Facilitate design reviews, handle location logistics, and manage attendee scheduling
  • Handle travel bookings, visa checks, and travel-related expenses
  • Assist with generating agendas, taking minutes, and tracking action items
  • Organise and maintain documents in line with quality control standards
  • Conduct regular internal file system checks and provide team training
  • Monitor project emails, forward messages, and maintain email organisation
  • Compile project research at the end of each Workstage
  • Troubleshoot IT issues affecting workflow during critical project phases
  • Provide cost-saving suggestions and oversee the PO process
  • Track project expenses and support credit card statement reconciliation
  • Assist new team members and educate them on policies and protocols
  • Coordinate project celebrations and budgets when necessary
  • Monitor timesheets and annual leave requests
  • Aid in preparing design reports and assist with print production
  • Arrange couriers and assist with sample and model ordering and storage
  • Promote confidentiality and Data Protection Act compliance within the team

Key Skills:

  • Possesses over two years of administrative experience, ideally in the built environment
  • Prior project coordination experience
  • Proficient in managing complex schedules and travel arrangements
  • A team player who excels independently and prioritises tasks under tight deadlines
  • Excellent communication skills
  • Adept multitasker and problem solver
  • Maintains composure and professionalism under pressure
  • Proactive, goal-oriented, and highly organised
  • Eager to learn, especially about design processes
