Project Finance Coordinator

The Role:

A sought-after luxury design company is seeking a Project Finance Coordinator to join their elite southwest London studio.

Working closely with the in-house procurement and finance teams, this role will manage the financial delivery cycle of FF&E projects. This role is perfect for someone with project accounting experience and procurement experience who has superb attention to detail and enjoys the luxury design sector.

Key elements of this role are variance reporting, funds/budget management, project delivery and reconciliation, and management accounts/ balance sheet review.

Key Responsibilities: 

  • Closely liaise with all teams to prepare procurement contracts establishing fees/margins/risk, acquire necessary project information for timelines and progress plans, and establish VAT/logistics, etc. and regularly communicating throughout process noting changes
  • Set payment schedule and project plans for approval, reviewing as project progresses
  • Identify monthly underspend/changes in revenue and update timesheets
  • Participate in monthly project update meetings, informing team on variances and necessary changes
  • Run and review monthly ancillary cost expenditure reports such as deliveries and expenses
  • Ensure payments and receipts are posted into internal finance systems on time and all invoices for fees and funds are sent to finance team, keeping in accordance with contract elements
  • Ensure project deliveries are in line with the appropriate country’s customs and export requirements and have the appropriate certification for VAT legislation
  • Process and reconcile costs after projects, raising necessary invoices and producing full project reconciliation for client
  • Create a profit and loss report informing full project expenditures
  • Raise and issue sales invoices for goods, deliveries and expenses
  • Review monthly merchandising accruals and advise the finance team on any updates or issues

Key Skills: 

  • Proven finance experience with exposure to procurement elements
  • Confident in complex accounting systems, balance sheets and profit and loss accounts
  • Solid project management and contracts management experience
  • Analytical with ability to problem solve finance and business management issues
  • Highly organised with attention to detail and ability to multitask
  • Excellent written and verbal communication
  • Proficient in MS Office mandatory and Deltek beneficial
