Receptionist & Studio Coordinator

The Role:

An internationally established and innovative architectural practice in Central London is seeking an organised and motivated Receptionist & Studio Coordinator to join their team. This person will work proactively to coordinate the day-to day activities within the studio providing both clients and team members with the highest level of service.

The ideal candidate will be familiar with working in a medium-large studio/office and will confidently be able to use their initiative in a busy environment. Key Responsibilities:

  • Meet and greet all guests to the studio in a warm and welcoming manner
  • Answer all calls and transferring/taking messages where necessary
  • Manage the day-to-day upkeep of the studio facilities and ensure that front of house is well presented at all times
  • Book travel, accommodation, and couriers for the studio
  • Help coordinate and support all internal and social events
  • Liaise with team members and contractors to assist with all planned and unplanned maintenance, identifying and escalating any issues to the Studio Support Manager where appropriate
  • Put together the weekly office presentations
  • Provide general administration support to the studio and senior staff including diary management, organising meetings and booking reservations
  • General finance administration (credit card reconciliation, filing invoices electronically)

Key Skills:

  • Previous customer service/front of house/administration experience (within creative is advantageous)
  • Proficiency in Microsoft Office Suite and Outlook
  • Experience using InDesign is advantageous but not essential
  • Excellent verbal and written communication skills
  • Adaptable with a proactive approach and meticulous attention to detail
  • Excellent time management and problem solving skills
  • Ability to handle confidential information with discretion
  • Ability to work as part of a team
