Office/Studio Coordinator

The Role:

Our client, a small architectural studio with a focus on residential and historic restoration projects, is looking for a motivated Office / Studio Coordinator to join their NYC team.

The ideal candidate will be a positive and focused individual with strong administrative experience, who enjoys being in a people facing role. This is a varied position and involves greeting visitors, scheduling meetings and screening communication for the Principal designers, and tracking all office expense reports and documents. In addition, the ideal candidate will be comfortable acting as the main point of contact between various internal and external parties to ensure the office operations are running smoothly. This is a wonderful opportunity for a candidate with prior experience in administration who would be looking to grow and develop in a long-term position.

Key Responsibilities:

  • Screen incoming communication with professionalism and discretion
  • Assist with billing, bookkeeping and tracking other documents
  • Perform various ad-hoc clerical tasks within the office
  • Maintain a pleasant office environment and liaise with facilities management
  • Plan and book travel for team members when necessary
  • Act as the main point of contact between various internal and external parties

Key Skills:

  • Previous experience in an administrative role, preferably within a creative environment
  • Positive attitude, adaptability, and enthusiasm about working in a people-facing role
  • Willingness to take initiative and maintain a big picture approach to daily operations within a busy office
  • Experience writing proposals within the A/E/C space is highly beneficial, but not required
  • Ability to manage workload and schedules, with a keen eye for detail
