Team Assistant

The Role: 

A highly celebrated architecture practice is seeking a Team Assistant to support their EA to the MD. This is a great opportunity for a highly organised person with a genuine interest and appreciation for the architecture industry to make a role their own.

This position will manage international travel bookings, diary management and general EA support tasks. You will also have the opportunity to be involved in planning events and organising different types of meetings.

Key Responsibilities:

  • Coordinate with EA to book all domestic and international travel/accommodation for MD, adding all details to the diary
  • Sort visas and any necessary travel documents for MD well ahead of travel
  • Coordinate and manage transportation/travel for MD’s family members and guests when needed, ensuring a smooth and seamless travel experience
  • Research travel costs, collate quotes and suggesting the best providers for itineraries
  • Manage organisation of MD’s diary including notifying MD of important event/meetings, preparing meeting invites, sharing invite lists with MD to be cross-checked and ensuring appointments are effectively communicated, etc.
  • Manage credit card statements and reconciliation
  • Organise international and domestic social events, sharing with MD’s partner and coordinating details
  • Filing documents, logging important post, managing network drives, maintaining an organised system
  • Manage MD contacts ensuring any updates are made in the email contact list
  • Assist with general support when needed such as research, tech support, gathering materials for meetings, and more
  • Provide support to MD’s partner and family members when needed with diary management, ad hoc tasks etc.

  • Excellent written and verbal communication skills
  • Ability to multitask with high attention to detail
  • Ability to work autonomously as well as within a team
  • Proactive and hands-on approach to tasks
  • Positive mindset with a friendly and approachable demeanour
