Executive Assistant

About the Role:

The Crowd is excited to be partnering with a highly respected global design and professional services firm known for delivering some of the world’s most ambitious and complex projects. With an international presence and a reputation for innovation, collaboration, and operational excellence, they are seeking an Executive Assistant to support senior leaders within a specialized technical team based in their New York City office. This is a full-time position operating in an in-office environment.

The ideal candidate will be a polished, proactive, and highly organized administrative professional who thrives in a fast-paced setting supporting multiple senior stakeholders. This role will serve as a critical partner to leadership, managing complex schedules, coordinating domestic and international travel, handling communications, and ensuring day-to-day operations run seamlessly. Strong attention to detail, discretion, and the ability to anticipate needs before they arise are essential. Key Responsibilities:

  • Manage complex calendars, scheduling priorities, and meeting logistics for multiple senior leaders, ensuring efficient use of time and proactive conflict resolution
  • Coordinate domestic and international travel arrangements, including flights, accommodations, transportation, itineraries, and travel documentation
  • Prepare correspondence, presentations, reports, meeting materials, and other communications on behalf of leadership as needed
  • Support external engagements, events, speaking opportunities, and industry activities by coordinating logistics and required materials
  • Track expenses, maintain records and databases, assist with administrative reporting, and contribute to special projects and cross-functional initiatives

Key Skills / Requirements:

  • Minimum of 3 years of executive, administrative, or high-level coordination experience supporting senior leadership
  • Exceptional organizational and multitasking abilities, with a proven ability to manage competing priorities in a fast-moving environment
  • Strong written and verbal communication skills, with a professional and client-facing demeanor
  • High level of discretion and professionalism when handling confidential information and interacting with executives, clients, and external stakeholders
  • Proficiency with Microsoft Office Suite, Outlook, and CRM or database systems, along with strong attention to detail and follow-through
