Executive Assistant

The Role:

Our client, a well-respected global architecture practice specializing in a variety of civic projects across architecture, interiors, and landscape, is seeking a highly organized and friendly Executive Assistant to join their team.

This is a great opportunity for someone with prior administrative and diary management experience who is hoping to be part of a hands-on and creative team. The position would involve helping with clerical work and calendar scheduling for the busy office while also supporting the professional development of the company. This role is very team-oriented and would be a great fit for a sociable and collaborative person with a strong attention to detail.

Key Responsibilities:

  • Handle intricate diary management for multiple areas of the office
  • Screen incoming communication with professionalism and discretion
  • Perform various clerical tasks within the office, such as reconciling expenses and booking travel / meetings
  • Maintain a pleasant and functional office environment, including stocking office and kitchen supplies
  • Help plan and budget various office events and lunches
  • Uphold company policies and exemplify positive leadership
  • Assist with onboarding procedures for new hires

Key Skills:

  • Previous experience in a similar role, ideally in the creative/built environment space
  • Diary management experience
  • Ability to act as a point of contact among various internal and external parties
  • Strong attention to detail, time management skills, and ability to prioritize daily tasks
  • Proficient in MS Office, Adobe Suite and video conference platforms
  • Strong interpersonal skills
  • Excellent multitasker
  • A friendly team-player who thrives within a collaborative and creative setting
  • Previous background in architecture / design is highly beneficial, but not required
