Executive Assistant

The Role:

We are working with a prominent global architecture firm in Manhattan who specializes in large-scale commercial works. They are looking for a highly experienced Executive Assistant to join their team and support multiple executives. In addition to the dynamic day-to-day in this role, it also poses the opportunity to lend ad-hoc support to creative/design projects as well. This is a great fit for a motivated multitasker with a passion for architecture.

An ideal candidate would be comfortable providing a high level of professional and personal support to several C-level executives on their friendly team, as well as liaising with various parties within and outside the business. This role is perfect for a warm, positive and organized individual who exercises discretion and approaches their work with a keen eye for detail.

Key Responsibilities:

  • Provide daily support to multiple executives including time and calendar management, screening incoming communication, and assisting with special projects and appointments
  • Manage expenses, timesheets, letters’ production, and filing/organising project documentation
  • Ensure the project calendar is up to date with relevant events and holidays/absences
  • Manage travel arrangements, including flights/hotels, while organising itineraries for international and domestic travels
  • Liaise with various other departments in order to streamline communications with the Principals
  • Perform various ad hoc tasks, including providing support on creative projects

Key Skills:

  • Experience in an architectural firm is desirable, but a keen interest in learning can be considered
  • Strong EA/PA experience supporting a senior leader/business owner
  • Excellent verbal and written communication skills at different levels
  • Experience with budgeting, event planning, time management, and complex calendar management
  • Excellent communication skills, with an ability to coordinate between various parties
  • Professionalism and discretion, with an ability to proactively adapt to an executive’s needs
