Office Manager

The Role:

A luxury interior design studio is seeking a hardworking Office Manager to join their successful West London studio. The company specialise in high end residential projects and give a boutique luxury experience to their clients. In this role you’ll manage the day to day running of the office and manage HR, finance, and general administration. This is a great opportunity for someone with previous office management/operations experience in a demanding environment to take their expertise into a creative and exciting environment. The company offers opportunities for growth and development and exposure to exclusive projects. This role is in the office five days per week.

Key Responsibilities:

  • Manage day to day running of the office
  • Manage timesheets and collate hours for invoicing
  • Assist with HR management including keeping staff details up to date, coordinating recruitment process, tracking annual leave/sick days, issuing documents with brand management supervision, etc.
  • Manage financial elements such as project procurement, weekly bank payments, invoicing, processing contractor payments, dealing with customs documentation, etc.
  • Organise travel for senior executives and clients when appropriate
  • Look after IT needs, liaising with IT support company when needed
  • Manage filing and storage systems as well as office supply inventory
  • Organise company events
  • Create presentations and reports for executives and leadership meetings
  • Meet and greet incoming clients and guests, answering phones and managing front of house elements

Key Skills:

  • Previous office management/operations experience in a creative environment
  • Proficient in Microsoft Office and ideally InDesign
  • Previous experience in IT and company budgeting/financial organisation
  • Excellent organisation and communication skills
  • Ability to handle multiple tasks at once
  • Team mindset and ability to work autonomously with a can-do and self-starter attitude
  • Ability to handle different personalities and thrive in demanding environments
  • Confidence and attentive
