Personal Assistant

The Role:

An award-winning and sought-after architectural practice is looking for an experienced and dedicated Personal Assistant to support the Senior Partner of the successful studio. In this role, you’d be the right-hand person to the Senior Partner, handling diary management, communicating with clients and organising both professional and personal elements for the Partner. You’ll also be managing the administration team and acting as a leader within the business. 

This is an excellent opportunity for someone who takes pride in supporting a creative business leader and has excellent organisational skills, being one step ahead and liaising with multiple parties.

This position will sit in their beautiful, unique social studio in south-central London (five days per week in the office).

Key Responsibilities: 

  • Manage Senior Partner’s emails and respond on their behalf when appropriate 
  • Diary management and travel booking 
  • Take dictation from Senior Partner on communications and attend Partner meetings taking minutes and producing agendas
  • Process expenses 
  • Work closely alongside the Senior Partner on the management of sister businesses 
  • Organise annual travel event for Senior Partner 
  • Manage personal duties for Senior Partner such as household expenses, insurances, personal appointments, etc 
  • Create presentations, collate project and imaging work and work within PowerPoint and InDesign 
  • Assist bids person and PA team with competition submissions 
  • Create experience brochures and books to support planning permission appeals 
  • Oversee admin team, ensuring consistent support is provided and organising cover when required during annual leave etc 
  • Conduct performance and salary reviews for reception staff 
  • Recruit and train new admin team members 
  • Carry out disciplinary procedures when required
  • Additional general admin tasks such as providing holiday cover to team members, answering reception overflow calls, etc 

Key Skills: 

  • Proven senior PA experience 
  • Excellent communication and organisation skills 
  • Confident in Microsoft Office, especially PowerPoint for presentations 
  • Proficient in InDesign
  • Experience working in Photoshop is ideal but not required 
  • Detail-oriented with the ability to handle various tasks at once 
  • Team player, friendly and social 
  • Reliable and strong work ethic
